HVAC Checklist When Buying a House: What to Inspect Before You Sign

The most expensive surprise I hear about from new homeowners is almost never the roof. It is the 16-year-old air conditioner that gave out the first July after closing, followed by a $9,000 replacement quote nobody budgeted for. The buyers assumed the home inspection had covered it. It had, technically: the inspector turned it on, felt cold air, and moved on.

Heating and cooling equipment is usually the most expensive mechanical system in the house, and it is also the easiest one to evaluate before you sign, because the single most important fact about it is stamped right on the unit. Here is the checklist I walk friends through whenever they are house hunting.

Photograph the data label on the outdoor unit and the furnace, decode the serial numbers to get the real manufacture dates, and treat anything past 12 years as a line item in your negotiation. A system past 15 years is a $5,000 to $12,000 replacement waiting to happen, and that belongs in your offer, not in your first summer's budget.

Step 1: Find the System's Real Age (Not the Seller's Guess)

Ask a seller how old the HVAC system is and you will usually get one of three answers: a guess, the year they bought the house, or the year of the last big repair. Disclosure forms are not much better, because many sellers honestly do not know.

The equipment itself does not guess. Every condenser, furnace, and air handler has a data label with a serial number, and the serial number encodes the week or month it left the factory. During the showing or the inspection, take a clear photo of the label on:

  • The outdoor unit (AC condenser or heat pump), usually on the back or side panel
  • The furnace or air handler, inside or beside the access panel
  • Any mini-split heads and their outdoor units, if the home has them

One detail that trips people up: the installation date and the manufacture date are not the same thing. I have seen units installed two or three years after they were built. Manufacturer warranties, on the other hand, run from the installation date, and fall back to the manufacture date only when nobody can produce the install paperwork. That is one more reason to ask the seller for the original invoice.

Step 2: Identify the Refrigerant (This Matters More Than Ever)

The age also tells you which refrigerant the AC or heat pump uses, and in 2026 that has real dollar consequences:

  • Built before about 2010: likely R-22 (Freon). Production ended in 2020, so any leak repair means paying scarcity prices for reclaimed refrigerant. A leaking R-22 system is a replacement, not a repair.
  • Built roughly 2010 to 2024: R-410A. Still serviceable, but new R-410A equipment stopped being manufactured in January 2025 and refrigerant prices have been climbing since. Repairs are getting more expensive every year.
  • Built 2025 or later: R-454B or another new low-GWP refrigerant. Current-generation equipment, though the transition has caused refrigerant supply hiccups of its own.

The data label lists the refrigerant type directly, so check it when you photograph the serial number. If you are looking at a house with an R-22 system, that unit is 15+ years old by definition and should be priced as end-of-life equipment.

Step 3: What You Can Check Yourself During the Walkthrough

You do not need gauges or a license to spot most of the warning signs. During the showing or the inspection window, spend ten minutes on this list:

At the outdoor unit

  • Rust and corrosion on the cabinet or the coil fins, especially at the base where water pools
  • Crushed or matted fins across large sections of the coil
  • Vegetation or fencing within about two feet of the unit, which chokes airflow
  • The unit sitting unlevel or sinking into the ground
  • Noise on startup: grinding, screeching, or repeated clicking is not normal; a low steady hum is

At the furnace or air handler

  • The filter: a filthy filter suggests the maintenance habit for the whole system
  • Rust streaks or water stains around the cabinet or the drain pan
  • Soot or scorch marks near the burner compartment on a gas furnace
  • The smell test: musty means condensate or mold issues; burning dust on first startup is normal, anything chemical is not

Around the house

  • Run the system in both modes, heat and cool, even in July. You want to know now if the furnace does not fire.
  • Check airflow in every room. Weak flow in the far bedrooms points to duct problems that a new unit will not fix.
  • Look at the thermostat. A decades-old thermostat often signals a decades-old approach to the rest of the system.
  • Count the returns. Homes with one central return and closed bedroom doors often have comfort problems no equipment can solve.

Step 4: What to Ask the Seller For

Three documents tell you most of what you need to know:

  1. Maintenance records. Annual professional tune-ups roughly double the odds a system reaches the high end of its lifespan range. No records is not automatically disqualifying, but it moves your lifespan estimate toward the low end.
  2. Repair invoices. A compressor, board, or coil replacement in the last few years matters. A refrigerant "top off" every summer means there is an unrepaired leak.
  3. Warranty paperwork. Ask whether the original owner registered the equipment. Many brands give 10-year parts coverage to the registering owner but cut it to 5 years of base coverage when the home changes hands, and several require a transfer form and a fee within 30 to 90 days of closing. Step 5: When to Pay for a Dedicated HVAC Inspection

A general home inspector operates the system and reports what they can see. That is genuinely useful, but it is not an HVAC evaluation. A licensed HVAC technician doing a pre-purchase inspection ($250 to $500 in most markets) will measure temperature split, inspect the heat exchanger with a camera, check the refrigerant charge, test electrical components, and evaluate the ductwork.

Pay for the dedicated inspection when any of these are true:

  • The serial number puts the system past 10 years old
  • The seller has no maintenance records
  • You noticed any red flag from the walkthrough list above
  • The home uses a heat pump as the only heat source in a cold climate
  • The system is a brand or configuration you cannot easily evaluate, like geothermal

On a purchase this size, $350 to confirm or rule out a five-figure expense is some of the cheapest insurance you will ever buy.

Step 6: Turn What You Found Into Negotiation Leverage

Everything above converts directly into money at the negotiating table, but only if you can document it. "The AC looks old" gets you nothing. "The condenser was manufactured in March 2009, it uses phased-out R-22 refrigerant, and replacement runs $6,000 to $10,000 for this size of home" gets taken seriously.

Your options, roughly in order of how often they succeed:

  1. Seller credit at closing. The cleanest outcome. You pick your own contractor and equipment later, and the credit offsets your cash to close.
  2. Price reduction. Same math, but the benefit is spread across the life of your mortgage rather than available up front.
  3. Seller-purchased home warranty. A common compromise for mid-life systems. Read the fine print on coverage caps, which are often below the real cost of a full replacement.
  4. Seller replaces before closing. Usually the worst option for you. Sellers shopping on price tend to buy builder-grade equipment and the cheapest installation available, and installation quality determines how long a system lasts.
